Recruitment Privacy Policy

Candidates applying to work for IES should send a CV and short cover letter to careers@iesve.com. This email address is accessed by our HR employees based in Glasgow, UK.

The job applications are held in secure email inboxes or secure network drives, accessible only by HR employees and line managers involved in the recruitment process. Sometimes the CVs are printed, in which case they are held in locked drawers or filing cabinets when not in use.

HR employees will share applicants’ details with relevant line managers in order to make decisions about their suitability for the role applied for and to enable us to contact shortlisted applicants. IES is a global company and applications will be shared with line managers and/or IES HR employees based outside of the EEA if they are part of the decision-making process.

Recruitment decisions are based on candidates’ experience, qualifications and skills, irrespective of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion and belief, sex and sexual orientation. IES would request that applicants provide only personal data relevant to the application on their CVs and cover letters.

The personal data of successful applicants, who become IES employees, will be processed and retained in line with the company’s employee privacy statement.  With limited exceptions, which are described below, the details of unsuccessful candidates will normally be retained for 12 months following the vacancy closing date, in case we need to get in touch about the recruitment process or in case another similar vacancy arises.  After 12 months, the applications will be deleted or destroyed. With candidates’ consent, IES may retain application details for longer than 12 months so the candidate can be informed of other relevant IES vacancies that may arise.

When a job is offered to a sponsored worker from outside the EU, IES may be required to retain all applications for the vacancy in accordance with Home Office requirements for a "resident labour market test".  These documents must be kept for one year from the date the company ends sponsorship of the migrant worker. IES is required to keep “all applications short listed for final interview, in the medium they were received, for example, emails, CV’s, application form”.
