Winvic deploy IES TaP for multiple projects requiring BREEAM certification

Winvic Construction Ltd use IES TaP to accurately manage many design and build projects simultaneously. It helps them complete the BREEAM assessments in-house quickly and efficiently.

Winvic took BREEAM assessments in-house in 2023, having previously outsourced them to a consultancy. The incumbent provider used IES TaP to meet the desired building certification for BREEAM assessments, so it made sense for Winvic to continue using the software. It is now a critical tool for Winvic to help streamline, manage and automate the BREEAM certification process.

“I had not used IES TaP before I joined Winvic in 2023. The previous consultancy I worked at used complex Excel spreadsheets to log BREEAM assessments, which were often prone to glitches associated with macros and hidden links. I have also used other software in the past but I find IES TaP the most intuitive.”

Full visibility and accountability of multiple building projects

Like all building contractors, Winvic has contractual responsibility to complete the BREEAM assessments in a timely manner. There are two separate stages to the BREEAM assessment: a design stage assessment, which leads to an interim certification, then a post-construction stage assessment. An additional round of evidence needs to be gathered before the final BREEAM certificate is granted, which is usually between three and six months after project completion.

The in-house BREEAM assessors manage every element of the project and IES TaP offers full visibility of the entire project status. Anybody who needs to provide some form of evidence is set up as a team member. Once the team members have provided their evidence, the assessors upload, store and reference all evidence documentation in a centralised, online location.

As a contractor often responsible for the design and build of a project, Winvic can be working on 30 projects at any one time. This might only be at three sites, but there are nine ‘units’ for the BREEAM assessment, which all have to be submitted separately. The units cover elements such as ecology, energy modelling, and health and wellbeing.

Customised Winvic template

At the start of a new project, Winvic’s assessors register it on IES TaP, then IES’ sales support team apply the customised Winvic template. Winvic’s construction projects predominantly comprise large, industrial sheds, which can be designed and built in about 12 to 18 months. A customised project template on IES TaP saves significant time and resource, avoiding inputting the same data multiple times for each unit. Winvic can also simplify the IES TaP default settings by filtering out the elements they don’t need for every new project.

Reporting and notifications

Winvic’s assessors use IES TaP’s RAG traffic light reporting on a daily basis, which is an accurate, real-time method of keeping track of pending deadlines. They email discipline-specific reports to all the relevant team members. The report highlights the target score that needs to be achieved, as well as the score so far as progress is being made; it motivates the project team to see the score going up as they submit information throughout the project. The multiple reporting options also mean you can change scenarios, such as deadline dates, which is very useful.

Winvic’s BREEAM assessors use IES TaP’s automatic email notifications, as well as emailing team members individually to ensure they are aware of pending task deadlines.

“With IES TaP, it’s so much easier to have all the data in a centralised repository. I have multiple projects and team members to follow up at any one time, so being able to view all the roles and deadlines in one place helps me to do my job more efficiently.”
